Tax Preparation & Strategic Tax Planning for New York Business Owners
For 20+ years, we’ve helped Westchester, Bronx, and Rockland business owners stop overpaying the IRS. Tax season doesn’t have to be painful.
The difference between filing taxes and planning them
Most accountants will file your tax return correctly. Very few will tell you, in May, what to do between now and December so that next April’s return costs you 20–40% less.
That’s the difference between tax preparation and tax planning, and it’s the difference our clients pay us for.
If you’re a contractor billing $800K a year, the difference between sole-prop, LLC, and S-corp can be $15,000 in self-employment tax — every year. If you’re running a dental practice, a properly structured retirement plan can shelter substantial income from current taxes. If you’re a W-2 earner whose spouse has a side business, the right entity structure for that side business can swing your family’s effective tax rate by several percentage points.
Most accountants don’t have time to mention any of this to you. We make time, because that’s what tax planning is.
Tax preparation services we provide
Personal tax returns (Form 1040) — for individuals, families, and high-earners across NY, NJ, and CT.
Business tax returns — Schedule C for sole proprietors, Form 1065 for partnerships, Form 1120-S for S-corporations, Form 1120 for C-corporations.
Multi-state filings — common for contractors who work across NY/NJ/CT lines and for healthcare professionals with practices in more than one state.
Trust and estate returns (Form 1041) — including final returns for estates being settled.
Amended returns and back-filing — if you’ve fallen behind, we’ll catch you up. We’ll also amend prior years if we find money you should have gotten back.
IRS notice response and audit support — if Uncle Sam comes calling, we represent you. (More on this below.)
Tax planning that actually saves you money
Filing a clean tax return is the floor. Tax planning is the ceiling. Here’s what real tax planning looks like for the businesses we work with:
For contractors and trades:
- S-corp election analysis (when it makes sense, when it doesn’t)
- Section 179 and bonus depreciation on vehicles, tools, and equipment
- Accountable plan setup so you can reimburse yourself for home office, mileage, and business use
- Retirement plan strategy (SEP IRA, Solo 401(k), defined benefit plan)
- Job costing structured for tax efficiency, not just billing
For healthcare practices:
- Entity structure review for solo practitioners and group practices
- Retirement plan strategy — often substantial deductions for established practices
- Equipment purchase timing for maximum depreciation
- HSA/FSA optimization
- Real estate ownership strategy if you own (or want to own) the building
For high-earning individuals and households:
- Charitable strategies (donor-advised funds, qualified charitable distributions)
- Investment account tax efficiency
- State residency strategies for those splitting time between states
- Roth conversion timing
- Family employment of teen children for legitimate work
We build a personalized tax plan once a year, then revisit it quarterly so we can move money in real time — not just react in April.
IRS audit assistance
If the IRS sends you a letter, don’t panic, and don’t ignore it. Most “audits” aren’t full audits — they’re correspondence audits asking you to substantiate one or two items.
We’ve represented dozens of clients in front of the IRS. Vivian is authorized to speak directly with the IRS on your behalf, request collections holds, propose payment plans, and file the right response forms.
If you’re an existing client, audit support is included in your plan. If you’re not yet a client and you’ve received an IRS letter, call us right away — the response window is usually short, and we can usually quote you a flat fee for the work.
Why business owners switch to us
You’ll talk to Vivian, not a junior. Most local accounting firms hand off relationships to staff and only see clients during tax season. We’re the opposite — Vivian personally manages every business account.
Plain-English explanations. Tax law is complicated. We don’t pretend it isn’t. We translate it for you so you understand what we’re doing and why.
A real client portal. Every client gets a secure portal for sending tax documents, receiving completed returns, and signing electronically. No mailing W-2s in unmarked envelopes.
Year-round availability. Our office is open year-round, not just January through April. Most of our most valuable work happens in summer and fall.
Transparent fixed-fee pricing. No “billable hours” surprises. We quote you up front for tax preparation and tax planning, and we stick to the quote.
What’s included in tax season prep
Tax season at our office is built to be stress-free:
- Document upload. You drop everything into the secure portal — W-2s, 1099s, K-1s, business books, mortgage interest forms, charitable receipts. We have a checklist that catches the things most people forget.
- Initial review and questions. We review what you’ve sent, flag missing pieces, and ask one consolidated round of questions — not a dozen back-and-forth emails.
- Draft return and review meeting. We prepare a draft and walk you through it on a call. You see every number and ask anything you want.
- Filing and confirmation. Once you’re satisfied, we e-file federal and state and send you confirmation receipts.
- Tax planning handoff. Before we close the file, we set up your tax planning calendar for the year ahead so we’re not scrambling next April.
Ready to pay less in tax — legally?
Tax law has hundreds of legitimate ways to lower your bill. The IRS doesn’t volunteer them, and a once-a-year accountant won’t catch them. Real tax planning is a year-round job — done right, it pays for itself many times over.

Frequently asked questions
Q: I already have an accountant — is it complicated to switch?
A: No. We’ve onboarded hundreds of clients from other firms. We’ll request your prior returns and work papers; you don’t have to handle anything awkward.
Q: Can you handle complex returns — multiple businesses, K-1s, rental properties?
A: Yes. About a third of our clients have at least three of those, and we built our practice around exactly that complexity.
Q: Do you only work with NY clients?
A: Most of our clients are in Westchester, the Bronx, Rockland, and the surrounding NYC metro, but we have clients in NJ, CT, and beyond. Tax filing is national; planning works the same way.
Q: How much does it cost?
A: Tax preparation depends on the return’s complexity. Tax planning packages start at a fixed annual fee. We quote you up front after the free consultation — no surprises.
Q: Do you also do bookkeeping?
A: Yes — see our bookkeeping page. About 80% of our tax clients also use us for bookkeeping; the two work much better together.
